Sales

Red can help you work with Sales Entries, Sales Invoices and other supported sales transactions.

You can use Red to:

  • Find existing sales transactions.
  • Create Sales Entries.
  • Create Sales Invoices.
  • Create invoices with multiple product lines.
  • Use manual or automatically generated invoice references, depending on your company settings.
  • Check products, Sales VAT rates, Sales Analysis categories and sales representatives.
  • Update notes and references on existing transactions.
  • Update dates on supported existing transactions.
  • Update monetary values and transaction lines where supported.
  • Review transactions from previous financial years.
  • Delete supported transactions after confirmation.
  • Process supported sales transactions in batches.
  • Check that invoice lines, VAT and totals add up correctly before posting.

Sales Credit Notes

Red can help you find, create, review, update and delete supported Sales Credit Notes.

Red supports manual-reference and automatically generated-reference workflows, depending on the company’s reference settings. It validates product lines, Sales VAT categories, analysis allocations and document totals before posting.

Try asking Red:

  • “Create a Sales Credit Note.”

  • “Create a Sales Credit Note using an automatically generated reference.”

  • “Find Sales Credit Note 000123.”

  • “Update this Sales Credit Note.”

Products and Sales Representatives

Red can find, create, update and delete supported Products and Sales Representatives. It can also create Products and Sales Representatives in batches.

Try asking Red:

  • “Update the price on this Product.”

  • “Show me Products that are not dormant.”

  • “Create these Products as a batch.”

  • “Create a Sales Representative.”

  • “Update this Sales Representative.”

  • “Delete this Sales Representative.”


Purchases

Red can help you create, find, review and update supported Purchase Book transactions.

You can use Red to:

  • Find existing purchases.
  • Create Purchase Book entries.
  • Check suppliers, Purchase VAT rates and Purchase Analysis categories.
  • Update notes and descriptions.
  • Change transaction dates where supported.
  • Change net, VAT and gross values on supported existing purchases.
  • Work with existing purchases from previous financial years.
  • Delete purchases after confirmation.
  • Create supported purchases in batches.
  • Preserve existing transaction information that you have not asked Red to change.

Red can help you create, find, review, update and delete supported customer records.

You can use Red to:

  • View customer details.

  • Create customers.

  • Update supported customer information.

  • Delete supported customers after confirmation.

  • Review customer transaction history across available financial years.

  • View a customer’s opening balance and opening-balance transactions.

  • Find the underlying transaction behind a customer account entry.

  • Review outstanding or historical account activity returned by Big Red Cloud.

  • Use customer information when preparing supported sales transactions.

  • Create customers in a batch.

Red cannot create or update customer opening-balance transactions. Opening balances must be entered directly in Big Red Cloud.

Suppliers

Red can help you create, find, review, update and delete supported supplier records.

You can use Red to:

  • Find suppliers.

  • View supplier details.

  • Create suppliers.

  • Update supported supplier information.

  • Delete supported suppliers after confirmation.

  • Review supplier account transactions across available financial years.

  • View a supplier’s opening balance and opening-balance transactions.

  • Find the underlying transaction behind a supplier account entry.

  • Use supplier information when preparing supported Purchase Book transactions.

  • Create suppliers in a batch.

Red cannot create or update supplier opening-balance transactions. Opening balances must be entered directly in Big Red Cloud.

  • “Show me this supplier’s account transactions.”

Emailing Documents

Red can send supported Sales Invoices, Quotes and customer Statements by email.

Before sending, Red shows an email preview containing the recipient address and asks for separate confirmation. When several recipient addresses are supplied, Red asks whether to send one email using BCC or separate emails.

Red cannot currently email Cash Receipts, purchases, payments, bank accounts, customers, suppliers, Products, reports or other document types.

Try asking Red:

  • “Prepare a customer Statement and show me the email preview.”

  • “Send separate emails to these recipients.”


Cash Receipts

Red can help with supported Cash Receipt transactions.

You can use Red to:

  • Find Cash Receipts.
  • Create supported Cash Receipts.
  • Review an existing Cash Receipt.
  • Update supported fields on an existing Cash Receipt.
  • Delete a Cash Receipt after confirmation.
  • Check relevant company settings before preparing the transaction.

Historical and monetary support can vary depending on the transaction and Big Red Cloud rules.

  • “Show me my recent cash receipts.”
  • “Find this cash receipt.”
  • “Change the note on this cash receipt.”

Payments

Red can help with supported Cash Payments, Cheques Entries and other payment-related transactions.

You can use Red to:

  • Find existing payments.
  • Create supported payment transactions.
  • Review payment information.
  • Update supported existing payments.
  • Delete supported payment transactions after confirmation.
  • Work with payment-related information returned by Big Red Cloud.

Try asking Red:

  • “Create a cash payment.”
  • “Show me my recent payments.”
  • “Find this cash payment.”
  • “Update this payment.”
  • “Delete this payment.”
  • “What information do you need from me to create a payment?”


Quotes

Red can help you find, review, create and manage supported customer Quotes.

You can use Red to:

  • Find and review existing Quotes.

  • Create Quotes using manual or automatically generated references.

  • Change the manual reference on an existing Quote.

  • Close or reopen a Quote.

  • Delete a Quote after confirmation.

  • Generate a Sales Invoice from a Quote.

  • Create Quotes in a batch.

The current Quote update workflow changes the manual reference only. It does not persist changes to the Quote note or other Quote fields. Deleting or changing a Quote does not automatically remove a Sales Invoice that was previously generated from it.

  • “Create a Quote using an automatically generated reference.”

  • “Change the reference on Quote 000045.”

  • “Close this Quote.”

  • “Reopen this Quote.”

  • “Generate a Sales Invoice from this Quote.”

Bank Accounts and Accounting Adjustments

Red can find, create, update and delete supported bank-account records. These operations change accounting records only: Red cannot initiate a real bank transfer or move money.

Red can also work with:

  • Accruals

  • Prepayments

  • Transaction allocations

Supported operations include finding, creating, updating and deleting Accruals and Prepayments, and reviewing or changing supported transaction allocations.

Every supported change requires a preview and confirmation.


Nominal Accounts, Reports and Journals

Red can:

  • List Nominal Accounts.

  • Review a Nominal Account ledger.

  • Review several selected Nominal Account ledgers.

  • Produce grouped Nominal Account reports.

  • Compare Nominal Account information across connected companies.

  • Find and review Nominal Journal batches.

  • Create, update and delete supported Nominal Journal batches.

  • “Show me the ledger for this Nominal Account.”

  • “Group these Nominal Accounts into a report.”

  • “Compare this Nominal Account across my connected companies.”

  • “Create a Nominal Journal batch.”
